The Division prepares the admission plan for postgraduate studies for the academic year in coordination with the Department Headship and the Scientific Committee for the purpose of approving the number of academic seats open for the various admission channels.

The Division undertakes the process of distributing application forms for postgraduate studies to students wishing to apply for study and receiving them from them after verifying the accuracy of the information contained therein.

Preparing all requirements for taking the competitive exam, including announcing the date of the exam, the location of the exam hall, and organizing the participation process for students applying to take the competitive exam.

Announcing the results of the competitive examination initially after those results are audited through an electronic system for graduate studies and under the supervision of the Graduate Studies Department at the University Presidency.

Accepted students are registered and this is done by opening a file for each student accepted for postgraduate studies within the department, which contains all of the student’s belongings, including original identification documents and university and administrative orders pertaining to the student’s admission to postgraduate studies.

The affairs of accepted students are followed up, including the students’ commitment to attendance and absence, preparing a monthly position on this, organizing a special form for course grades (first and second), the process of the student’s transition to the research stage, and issuing all orders related to that, whether success, failure, or enrollment promotion.

Follow up on issuing an administrative order to supervise postgraduate students moving to the research stage and naming the teaching staff supervising them, in coordination with the department presidency and the scientific committee.

Preparing a schedule of seminars for postgraduate students related to the research topic for each of them.

Follow up the attendance of postgraduate students/research stage on a weekly basis according to a special record.

Issuing administrative orders related to linguistic evaluation and scientific evaluation of theses and dissertations submitted by students, and naming their discussion committees, each according to his specialty.

Follow up on the preparation of the discussion room for university dissertations in the department, in coordination with the student and the department chair.

Granting graduating students official documents (document with grades/without grades/mural/Arabic/English).

  1. Opening the academic file for students on scholarship within the program (scholarship/fellowship/study leave), which includes all of the student’s belongings, including original identification documents and university and administrative orders pertaining to the student’s acceptance into that program.

  2. The affairs of scholarship students are followed up, including the students’ commitment to attendance, absence, starting the language course, or starting studying directly, by contacting the Department of Scientific Affairs and Cultural Relations at the University Presidency and organizing a special electronic form for that.

  3. Requiring graduating students and those returning to the homeland to complete the (certificate equivalency) treatment granted to them in accordance with the applicable regulations and contexts, and following up on this in coordination with the Department of Scientific Affairs and Cultural Relations at the University Presidency and the relevant departments at the headquarters of the Ministry of Higher Education and Scientific Research.

  4. Coordinating with the returning scholarship students by setting up a seminarian for his thesis or dissertation in the first month of his work in the department and in the presence of the scientific committee and teaching staff in the department.
